Docusign moved its Japan headquarters into a larger floor at Toranomon Hills Mori Tower. mtc won the work through a competitive RFP and delivered every technology element under a single contract, from structured cabling and racks to 28 meeting rooms, huddle spaces and event spaces, physical security and sound masking. Site works took three weeks and the project was handed over on schedule and on budget.

The challenge
What the client needed
Docusign has been an mtc client for years, so when the Japan team began planning a move into a larger floor at Toranomon Hills Mori Tower, the conversation started early. The new office was built to support a growing headcount, and the technology had to match the standards Docusign runs everywhere else in the world. What the team wanted was simple to describe and much harder to deliver: one company to handle every technology element of the relocation, under a single contract, with a single point of contact.

What mtc delivered
One contract, one team, one point of contact
Technology fit-outs in Tokyo are usually split across several vendors. Cabling goes one way, AV another, security somewhere else, and the client ends up holding the schedule together. Docusign wanted to avoid that, and mtc took on the full scope: racks, UPS and PDU, structured cabling, IT equipment installation, audiovisual design through to programming and support, physical security, and sound masking.
The work was run by an in-house bilingual team covering design, planning, procurement, logistics, testing and commissioning, handover and ongoing support, led by a bilingual technical project manager. On a fast-moving project, having one person who understands the whole picture and holds the decisions leaves fewer gaps for things to fall through. Less rework, less wasted material, and a lot less stress for the client.
Involved before the drawings were finished
mtc joined while the designer was still producing test fits. That timing mattered. Technology requirements could be communicated clearly while the floor plan was still moving, so Docusign’s standards were implemented without compromise, all costs were captured up front, and nothing had to be torn out and redone later.
The team also gave input on areas that sit next to the technology but are usually handled by someone else: soundproofing, room acoustics and lighting, plus coordination of furniture and power wherever those affected the IT or AV systems in a space.
Structured cabling built for the site
The structured cabling is Panduit throughout, installed as a fully certified system using products developed for the Japanese market and sized to suit Japanese outlets and furniture. Every link was tested and certified with Fluke equipment, and the installation carries a 20 year manufacturer warranty.
Two Panduit R4PCN racks sit centrally on the floor with vertical cable managers. Space is expensive in Tokyo, so mtc uses 1RU 48 port patch panels as standard, which halves the patch panel footprint and gives back usable rack space for active equipment. mtc also handled wireless access point installation, IT equipment racking and patching, and desk setup including monitors and monitor arms.
Carrier and building coordination
Circuit delivery was coordinated locally, with mtc acting as the on-site contact, dealing directly with the Japanese carriers in Japanese, arranging site access and building permissions, and supervising the installation. For a global team working across time zones, that removed the part of a Japan fit-out that most often causes delay.
Meeting room technology across the floor
The floor has 10 video conferencing meeting rooms, 15 huddle spaces, two training rooms that combine into one, and an all-hands cafe space. Docusign runs Zoom globally, and the room platform is Logitech, using Rally Bar Huddle, Rally Bar Mini, Rally Bar and Rally Plus units to suit the size of each space, with Logitech Tap Scheduler outside the doors.
Displays are Sony Bravia professional across the board. The largest room uses the 985L, Sony’s flagship large format LCD, and the remaining rooms use the new 40P series, which draws up to 30 per cent less power and contributes to energy efficiency targets across the whole floor. Using Pro Mode for on-display power control and automation removed the need for extra control hardware in those rooms, and it means the displays behave predictably no matter what is connected to them.
The combinable training rooms
The two training rooms are built on Crestron control and combine into a single room. A Crestron partition sensor detects the wall position and combines or divides the room automatically, with no user action required. Four Crestron 1 Beyond i12 cameras run multi-camera auto switching and tracking in both the combined and divided states. Presenters are picked up and followed when they stand at the front, and when a participant speaks the system switches to them, so remote attendees always get the most useful view of the room.
Audio is Shure, with MXA920 ceiling microphones, a P300-IMX handling processing, and Microflex Wireless neXt 2 handhelds for anyone who prefers one. Speakers are Crestron Saros IC4A on NAX, which makes combining and separating the room simple and leaves voice lift available as an option. The NAX approach also needs only one LAN connection per four speakers, which cut the number of switch ports and cabling drops required to achieve per-speaker zoning.
The all-hands cafe space
The all-hands cafe space has become the centre of the office. A 160 inch Absen LED display anchors the room and gives it real presence, and staff can walk in and run a meeting or a presentation without training, without a manual, and without asking the local IT team for help.
Control is Crestron, designed around heavy automation and a front end that reacts to what is happening in the room rather than waiting for input. A Crestron touch panel is there for anyone who wants manual control, and Crestron NAX inputs for Bluetooth, USB, 3.5mm and XLR make outside equipment easy to plug in for custom events. Cameras are a Huddly L1 at the front of the room, giving a wide, intelligently framed shot in a body small enough to disappear into the front of room design, paired with a Crestron 1 Beyond i12 that tracks presenters quickly and accurately for a more polished broadcast look. Microphones are Shure neXt 2 wireless, and speakers are the same Crestron Saros IC4A NAX system used in the training room, so audio can be zoned however the space is being used.
Both the all-hands space and the training room use Crestron AirMedia for wireless presentation. No software, no drivers, nothing for the user to set up. Crestron programming was carried out by ClearAlan in Toronto. The introduction came through contacts at Crestron, where Ross Noble of ClearAlan and mtc were both recipients of the Crestron True Blue MVP Award in Madrid in 2025.
Security, sound masking and the old office
Physical security covers access control, CCTV and visitor management, delivered on a cloud based platform with integrated visitor handling, designed and installed by mtc with ongoing support. mtc also designed and installed a Biamp Cambridge sound masking system with full coverage of the office. In many Japanese buildings the background noise from air conditioning and services is so low that staff can hear conversations happening well across the floor. Raising the noise floor gives speech privacy and makes open working areas noticeably more comfortable.
mtc then planned and executed the relocation of the IT equipment Docusign wanted to reuse, and decommissioned and cleaned out the old office ready for handback to the building owner.
