The brief

The client was opening a new Tokyo office with an international team and needed a reliable local partner to deliver a full AV and IT integration project. Cost control, usability and quick delivery were the priorities, and there would be no local AV specialists on site once the office was running.

Challenges

  • Coordinating design and execution with a globally distributed IT team
  • Delivering reliable functionality while reusing existing AV hardware
  • Making systems easy for non-technical staff to operate without on-site AV specialists
  • Meeting the overseas IT team’s internal standards throughout the project

What we did

Equipment audit and reuse strategy

mtc carried out a detailed audit of the client’s legacy displays, cameras and infrastructure and set out a reuse strategy. New equipment was procured only where it was genuinely needed, with a focus on value and simplicity. The result was a hybrid AV system that integrates new and reused components, giving modern, reliable performance across meeting rooms and shared spaces at lower cost.

AV, IT and network delivery

mtc delivered the full AV and IT system, including structured cabling and the core network setup. High-definition video conferencing was integrated so staff can meet remote teams and international partners with clarity and reliability. Throughout design and installation, mtc worked with the client’s remote overseas IT stakeholders to keep every element in line with their internal standards.

All-hands and town hall audio

For internal events, town halls and hybrid meetings, mtc designed a simple-to-use audio system that adapts easily from formal meetings to casual brainstorming sessions. Shure Microflex Wireless neXt 2 microphones provide wireless coverage, a Powersoft Mezzo networked amplifier powers and controls the system, and a Powersoft WM Touch panel gives non-technical users control of the whole system without any programming.

Bilingual coordination and ongoing support

mtc’s bilingual project coordinators acted as the point of contact between international decision-makers and Japanese site vendors, making sure everyone understood requirements, timelines and expectations. Regular feedback loops kept the technology aligned with the client’s brand and identity. After installation, mtc set up a dedicated support line for technical issues and questions.
