The challenge
The renovation was the chance to rethink meeting room AV
The firm was renovating its Tokyo headquarters to modernise both the workspace and the technology behind it. The meeting rooms needed a complete rethink of AV infrastructure, with video conferencing, audio and control tailored to its internal standards for user experience, security and functionality, and technology that blended into the design rather than overwhelming it.
Key challenges
- Bring meeting spaces up to its global standards
- Improve quality and reliability of frequent hybrid meetings with international participants
- Align all rooms with its global IT strategy
- Keep systems easy to operate without dedicated support staff
Our role
All rooms behave like the other global offices
Webex was already part of the global conferencing environment
mtc provided consulting, hardware selection, full installation and commissioning across executive boardrooms, general-purpose meeting rooms and a multipurpose all-hands space. All meeting rooms were fitted with Cisco Webex Room Series endpoints, so users get the same experience as in other offices. mtc integrated the systems with minimal staff training required.
Webex and Crestron share one touch panel
Crestron Room Scheduling Panels outside each meeting space link to the booking system, so staff can find and reserve rooms in real time. In more advanced spaces, a Crestron control processor automates powering displays, adjusting lighting and switching room modes. mtc integrated these functions into the Cisco Webex Room Navigator panels, so users control lighting, audio levels and display modes from one touch interface with no extra devices.
Audio mixing runs without user intervention
In larger rooms, mtc deployed Shure Microflex Wireless microphones with Shure IntelliMix P300 digital signal processors. The processors handle echo cancellation, gain control and audio mixing without user intervention, giving in-room and remote participants clean, consistent sound.
The boardroom reconfigures itself when the partition moves
A movable partition lets the main boardroom operate as one large room or two smaller rooms. mtc designed the AV to adjust automatically when the room is combined or divided, including microphone zoning, speaker output and video conferencing layouts. In the multipurpose room, an adaptive, automated audio system supports training sessions and hybrid town halls, adjusting to usage and occupancy without manual tuning.
