Simultaneous IT, AV, and Security Rollouts for a Global Professional Services Firm in Tokyo and Fukuoka

GlobalServices Office scaled

A global professional services firm needed to expand its Tokyo headquarters and open a new office in Fukuoka. mtc delivered cabling, AV, physical security and IT infrastructure for both sites, with design, procurement and installation overlapping across the two projects.

The challenge

Two sites ran at once and Fukuoka had no reliable drawings

The client serves leading technology, financial and consumer brands with stringent IT, security and compliance requirements. To support growth in Japan, it needed an additional floor at its Tokyo headquarters and a new two-floor office in central Fukuoka, its first major regional location in Kyushu. Design, procurement and installation windows overlapped across the two projects.

Key challenges

  • A compressed schedule covering two sites from design through to handover
  • Global IT, AV and security teams spread across multiple time zones
  • Older Tokyo AV systems that had not worked reliably for years
  • No reliable CAD drawings or digital floor plans for the Fukuoka building
  • Low dropped ceilings, shallow 50 mm raised flooring and limited existing MEP infrastructure

Our role

Two sites in five months by finishing design first

Tokyo gained a full floor of workstations and meeting rooms

mtc fitted out an additional floor with more than 200 new workstations, 15 video conferencing rooms built to the client global AV standard and a centralised office-wide paging system. Access control and CCTV followed global IT and security policy. Working with the appointed designer, mtc met branding and quality standards, matching existing infrastructure while upgrading it for reliability.

Fukuoka was built with no reliable drawings

For the 15 meeting rooms and the rest of the Fukuoka fit-out, mtc planned cable routes to avoid power conflicts and ceiling obstructions. mtc coordinated with the MEP teams to secure cooling and power for the server room and AV equipment, and used Ekahau site surveys to plan and validate access point placement.

Approvals and procurement were pulled forward

To hold the schedule, mtc accelerated design finalisation, secured global stakeholder approvals and prioritised procurement by lead time. As the Japan-based lead integrator, mtc provided clear documentation and bilingual communication, worked flexible hours across time zones and guided local vendors on international expectations.

The older Tokyo meeting rooms were brought back online

In Tokyo, mtc also assessed, troubleshot and updated the older meeting rooms, bringing them all back online while delivering the new floor to specification.
