The challenge

Global restructuring changed the brief while the project ran

The relocation took place while the client was going through global restructuring, and input came from US, Asia-Pacific and EMEA teams. mtc had to turn conflicting international requirements into a single Japan-specific plan while coordinating local Japanese vendors and contractors.

Key challenges

  • Corporate restructuring blurred AV and IT standards during the project
  • Key decision-makers were sometimes unavailable, and approvals shifted across departments
  • Many global stakeholders were based in North America, across time zones
  • Internet circuits and analogue telephone lines needed arranging with Japanese providers

Our role

mtc acted as lead consultant and integrator for the full technology stack

Three regions of input became one Japan standard

With the restructuring under way, mtc built a consistent Japan-specific technology standard and reconciled the conflicting requirements into one deployment plan. Schedules and communications were adapted for stakeholders in North America, and post-installation support and documentation followed.

The server room layout was settled with the building team early

Early in the project, mtc worked with the building base design team to customise the server room layout: cooling capacity, dedicated power distribution, cable containment, rack planning, redundancy and monitoring. Coordination with the mechanical, electrical and plumbing (MEP) teams avoided common design conflicts. mtc also coordinated security system enhancements for building access and internal zones.

Redundant internet lines came with competitive quotes from Japanese providers

mtc installed CAT6A cabling, redundant core switches and patching, secure wireless throughout the office, and racks with PDUs and UPS systems. Cable labels and documentation were written in English and Japanese. The team helped the client choose ISPs, obtain quotes, translate service documents and activate multiple redundant lines, plus analogue telephone lines that kept legacy systems working during the transition.

All rooms share one custom-branded bilingual interface

mtc designed AV for small and medium-sized video conferencing rooms, a flexible multi-purpose event space and executive meeting areas with automation and simplified controls. Microphones, speakers and displays are matched to room acoustics, and the rooms connect to the video conferencing platforms the client prefers. Rooms are walk-in ready, so daily use does not depend on IT support.
